Employee Photograph Guidelines

When submitting a photograph for use on a work ID badge or an internal systems, employees must ensure the photograph meets the following criteria:

Dos

  1. Ensure the photograph looks like you.

  2. Ensure you have a neutral or smiling expression.

  3. The photo must be in colour, clear and in focus.

  4. The photograph must be taken against a plain light-coloured background.

  5. Take the photograph in natural lighting to avoid harsh shadows, ensuring even lighting on your face.

  6. Wear smart clothing, which reflects professionalism. Avoid wearing off-the-shoulder styles.

  7. Your face should take up at least 60% of the frame, you may need to crop the photo from just above your shoulders to just above your head.

  8. Use a high-resolution photograph.

Don'ts

  1. Do not have your eyes closed.

  2. Wearing sunglasses or tinted glasses are not permitted; reading glasses are acceptable.

  3. Do not wear hats or scarfs unless for religious or medical reasons.

  4. You must not have objects or other people in the photo.

  5. Do not alter the photo using filters unless for lighting purposes.

How to submit a photograph for an ID badge

  1. Attach your photograph as a JPEG or PNG file to an email.

  2. Use the subject line: ID Badge Selfie – Your Name for your email.

  3. Include your name and the address you would like your ID badge sending to.

  4. Send the photograph to XXXXX

Submission Process Confirmation

Once your ID photograph has been verified to meet the guidelines, your ID badge will be posted to you.

Resubmission

If your photograph does not meet the guidelines, you will receive a notification to submit a new one.
